01Who we are

The controller of your data is APOCORE AI SRL, a company registered in Romania, CUI RO51837570. We work under the ApoCore AI brand. The company’s full identification details are in Terms and company details.

For any question about your data, write to us at contact@apocore.ai. A person on our team replies, not an automated form.

02What data we collect

We collect only the data we need to reply to you and, if we end up working together, to deliver what we promised.

• Contact form: your name, email address, company and the message you send us.
• Bookings: your name, email, the time you choose and the notes you leave when you book the free diagnostic (a 20-minute online conversation) through cal.com.
• Email: the correspondence we have with you, including attachments.
• Traffic statistics: pages visited, country, device type and the source of the visit, in aggregate form, without cookies. If you accept analytics cookies, Google Analytics also collects a device identifier.

We do not collect special categories of data (health, beliefs, ethnic origin), and we ask you not to send them to us through the form.

03Why and on what legal basis

Each processing activity has a purpose and a legal basis under Regulation (EU) 2016/679 (GDPR).

We reply to form inquiries and bookings

Our legitimate interest in replying to those who contact us. Art. 6(1)(f)

We conclude and perform contracts

Performance of the contract with you, or pre-contractual steps taken at your request. Art. 6(1)(b)

We issue invoices and keep accounting records

Legal obligation, under tax and accounting legislation. Art. 6(1)(c)

04Who we share it with

We do not sell data and we do not pass it on for marketing. We use a few providers that process data on our behalf, under contract:

We disclose data to public authorities only when the law requires us to.

05Transfers outside the EU

Some of the providers above have servers in the United States. Transfers are made to companies certified under the EU-U.S. Data Privacy Framework or on the basis of the standard contractual clauses approved by the European Commission. We can send you a copy of the safeguards on request.

06How long we keep it

• Inquiries that do not lead to a collaboration: 12 months from the last contact, then we delete them.
• Clients: for the duration of the contract, plus the archiving periods required by accounting and tax legislation.
• Aggregate statistics: they do not identify you, so we keep them indefinitely.
• Your cookie choice: 12 months, then we ask you again.

07Your rights

Regarding your data, you have the right to request:

• Access: to find out what data we hold about you, and a copy of it.
• Rectification: that we correct inaccurate or incomplete data.
• Erasure: that we delete it, when we no longer have a legal reason to keep it.
• Restriction: that we keep it but no longer use it, while a check is carried out.
• Portability: to receive it in a structured format that you can take elsewhere.
• Objection: to object to processing based on legitimate interest.
• Withdrawal of consent: at any time, for processing based on consent, without affecting what was done before then.

Write to us at contact@apocore.ai. We reply within one month at the latest. We do not make automated decisions with legal effects concerning you.

08Complaint to ANSPDCP

If you are not satisfied with how we responded, you can file a complaint with the Romanian Data Protection Authority (ANSPDCP):

09Cookies

The site works without tracking cookies. We collect basic statistics with Umami, which does not use cookies. Google Analytics starts only if you accept it in the cookie banner.

10Changes

When we change something in this policy, we update the date at the top of the page. For important changes, we notify you by email if we have your address.
